Schedule, manage and broadcast Microsoft Teams, Zoom, Google Meet or SignMitra camera meetings to an assigned digital-signage screen while keeping normal playlist playback ready to resume.

Before you begin

Confirm the target SignMitra screen is online. You may paste an existing Teams, Zoom or Google Meet link without connecting an account, or connect your own provider account and let SignMitra create the meeting. For SignMitra Camera, connect the USB camera or use a supported device or mobile camera. Camera, microphone and computer-screen capture permissions must be allowed on the broadcasting device.

Video meeting settings and broadcast controls

These settings determine which service is used, what the SignMitra player receives, when the meeting is eligible, and how normal signage resumes.

Meeting service and identity

  • Meeting service: Choose Microsoft Teams, Zoom or Google Meet when you already have a provider meeting. Choose SignMitra Camera for a direct USB, device or supported mobile-camera broadcast.
  • Meeting title: The internal meeting name shown in the Video Meetings dashboard. Use a clear title such as Weekly Sales Review or Reception Town Hall.
  • Show on screen: The SignMitra screen that will temporarily display the live meeting. The screen must belong to the current account and be online.

Display source

  • USB / device / mobile camera: Broadcasts the selected camera feed. This is suitable for a speaker, classroom, event stage, reception camera or mobile-camera source.
  • Share meeting window or screen: Captures the selected Teams, Zoom or Google Meet window. Use the provider gallery or grid view when all participant video tiles should be visible on the signage screen.
  • Browser permission: Allow camera access for a camera source or display-capture access for a meeting-window source. Select the correct device or window in the browser prompt.

Provider and schedule details

  • Connected meeting accounts: Connect your own Microsoft Teams, Zoom or Google Meet account to create meetings inside SignMitra. Disconnecting an account does not remove meeting links already saved.
  • Paste an existing link: Paste the complete HTTPS join link supplied by Teams, Zoom or Google Meet. This works without OAuth and is recommended when the meeting already exists.
  • Create through my connected account: Creates a new provider meeting using the authorised user account and automatically saves the join link, meeting ID and passcode when supplied by the provider.
  • Meeting ID and Passcode: Optional reference fields for provider meetings. Store only the information that authorised operators need.
  • Starts: The planned local start date and time. A meeting can also be started manually from the dashboard.
  • Expected end: An optional safety end time. Set a realistic value so signage can resume if the host forgets to end the meeting manually.
  • Invite people: Enter comma- or space-separated email addresses. After saving, use Share to send the provider meeting link through an available mobile or desktop sharing app.
  • Host notes: Private operational notes for dashboard users. Host notes are not displayed by the public player.

Playback and meeting controls

  • Hold this meeting on the screen until it ends: Keeps the assigned display on the meeting instead of advancing through normal signage. Disable only when the meeting should not reserve the screen.
  • Start: Marks the meeting live and tells the assigned player to prioritise the meeting. Start the broadcaster immediately after this action.
  • Broadcast: Opens the host broadcasting workspace. Choose and permit the correct camera or meeting window, verify the preview, then begin sending the feed.
  • Join: Opens the saved Teams, Zoom or Google Meet link in a separate tab or provider application. Join as the authorised host or participant.
  • Share: Uses the device share sheet when available, or copies the meeting URL so it can be sent through WhatsApp, email or another app.
  • End: Stops meeting priority for the screen and restores its normal playlist. Always use End after the event, even if the provider meeting has already been closed.

Good to know

  • Teams, Zoom and Google Meet remain the meeting providers. SignMitra displays the meeting by capturing the selected meeting window or screen; it does not replace the provider account, licence, host controls or participant permissions.
  • SignMitra administrators configure the platform OAuth client IDs and secrets once. Each customer then authorises only their own Microsoft, Zoom or Google account from Connected meeting accounts. Access and refresh tokens are stored encrypted per SignMitra account.
  • Provider connection is optional. Paste an existing meeting link when a meeting was created elsewhere; no OAuth connection is required for this path.
  • To show all participant videos, choose Share meeting window or screen, open the provider gallery/grid view, and select only that meeting window when the browser asks what to share.
  • Use USB / device / mobile camera when the screen should receive a direct camera feed instead of the complete provider meeting window.
  • The selected screen can remain on the meeting until the host ends it. Normal playlist playback resumes after End is used or the configured expected end time is reached.
  • Keep the broadcasting dashboard open and the device awake for the complete meeting. Closing the broadcaster, revoking permission or losing connectivity stops the live feed.
  • Use a wired network where possible for long meetings. Test camera, microphone, speaker output and screen sharing on the actual player before a live event.
  • Only broadcast meetings and participants when you have the required consent and permission. Avoid displaying confidential meeting content on public screens.

Publishing

Video Meetings does not require a normal slide or playlist edit. Save the meeting, assign its target screen and select Start. Open Broadcast, permit the requested camera or screen source, and begin broadcasting. The live meeting temporarily takes priority on that screen. Select End when finished so the player immediately returns to its normal published playlist.

Step by Step Guide
Step 1: Open Video Meetings

Open Apps, select Video Meetings and choose New meeting, or select Microsoft Teams, Zoom, Google Meet or SignMitra Camera from the provider cards.

Step 2: Choose the meeting service

Select the provider that will host the meeting. SignMitra Camera uses a direct camera source.

Step 3: Choose link or connected-account creation

Paste an existing provider link without OAuth, or connect your own provider account and select Create through my connected account.

Step 4: Name and assign the meeting

Enter a clear meeting title and select the SignMitra screen that must display it.

Step 5: Choose what the screen receives

Select USB / device / mobile camera for a direct camera feed, or Share meeting window or screen for the complete provider meeting view.

Step 6: Add provider information

For the link path, paste the full meeting URL and optionally add its ID and passcode. For connected-account creation, SignMitra fills these details from the provider response.

Step 7: Set timing and invitees

Choose the planned start and optional expected end, add authorised invitee email addresses and enter private host notes if required.

Step 8: Save the meeting

Keep Hold this meeting on the screen until it ends enabled when the live meeting must take priority, then select Save meeting.

Step 9: Start and join

Select Start from the meeting card. For an external provider, open Join and enter the provider meeting using the authorised account.

Step 10: Open Broadcast and select the source

Select Broadcast. To share a computer, choose Share computer screen, window or browser tab and approve the exact meeting window in the browser prompt. For all participant videos, first enable gallery/grid view in the provider.

Step 11: Verify the player and end safely

Confirm the assigned screen shows a stable live feed with correct framing and audio behavior. When finished, return to Video Meetings and select End so the normal playlist resumes.

Frequently Asked Questions
Can SignMitra create Teams, Zoom or Google Meet meetings?
Yes after the SignMitra administrator configures the platform OAuth app and the customer connects their own provider account. Users may also paste an existing meeting link without connecting an account. The provider remains responsible for licences, admission, recording, chat and host controls.
The SignMitra system administrator registers and configures each platform OAuth app once in API & Secrets. Every customer then uses Connect to authorise their own provider account; customers never receive or enter the platform client secret.
Register https://www.signmitra.com/admin/DataProxy/callback exactly in the Google OAuth web client. Google compares the scheme, host, letter case, path and trailing slash exactly; a mismatch causes error 400 before SignMitra receives the authorization response.
Yes. Choose Share computer screen, window or browser tab, open Broadcast, select Start Broadcasting and approve the desired screen, application window or tab. Browsers require this approval every time for privacy.
Join the provider meeting, switch Teams, Zoom or Google Meet to gallery/grid view, choose Share meeting window or screen, and select that meeting window in the browser capture prompt. The player displays what is visible in the captured window.
The captured provider window is probably in speaker view. Change it to gallery/grid view and make sure the complete meeting window—not a single video tile—is selected for sharing.
Confirm the meeting is marked Live, the correct screen is assigned, Broadcast is open and actively sending, browser permission was granted, and the target player is online.
Use a supported current browser over HTTPS, allow camera or screen-recording permission in both the browser and operating system, close other applications exclusively using the camera, and retry Broadcast.
Yes. Select USB / device / mobile camera, open Broadcast and choose the connected USB camera from the browser permission prompt.
A supported mobile browser can use the phone camera when camera permission is allowed. Mobile operating systems may limit background capture, so keep the broadcasting page active and the device awake.
Yes after End is selected or the configured expected end makes the meeting ineligible. Using End is recommended because it restores normal signage immediately.
The live meeting feed cannot continue without connectivity. The player and broadcaster will attempt normal recovery, but the host should verify the screen and restart Broadcast when the connection returns.
Audio depends on the captured source, browser permissions, player volume, operating-system output and the display connection. Test the complete audio path on the actual device before the meeting.
End the live meeting first. Then edit its details or delete the saved meeting from the dashboard.
The Video Meetings app is designed for live display and does not itself promise provider recording. Use the authorised recording controls supplied by Teams, Zoom or Google Meet when recording is required.
